SOLUTIONS // HRMS
HRMS and payroll software that follows your policies.
Attendance from one device, leave on WhatsApp, payroll in a spreadsheet that one person understands. We build HRMS platforms that bring employee records, attendance, leave and payroll into one system, with a self-service app your team will actually use.
WHO IT IS FOR
Who HRMS and payroll software development is for.
Custom HRMS and payroll software suits an employer whose shifts, sites or pay rules need a workaround in every packaged HR tool. We build HRMS platforms for employers in Kerala, across India, and in the UAE and Australia.
Hospitals and clinics
Rotating duties, on-call shifts and night allowances change the payroll every month, and the roster is kept in a register.
Manufacturers and contractors
Workers are spread across sites and shifts, overtime is calculated by hand and attendance comes from several devices.
Retail and hospitality chains
Staff move between branches, weekly offs rotate and nobody can see tomorrow’s coverage in one place.
Groups with several companies
Each entity has its own pay cycle and statutory registration, and group headcount is a spreadsheet assembled on request.
By sector: HRMS software for hospitals and clinics.
Our approach
HR tools off the shelf work well for standard policies. Shift patterns, site-based attendance, multiple entities, custom leave rules or approval chains are where they start to need workarounds — and payroll errors are the most visible mistake a company can make.
We start from your policies and your payroll, not a feature list. The system encodes the rules once, so a leave balance, a late mark or a salary component is calculated the same way every month, and every figure can be traced back to its source.
Signs it is time
- Payroll takes days and still produces corrections
- Attendance data comes from several devices and sheets
- Leave balances are disputed every month
- Your policies need workarounds in the HR tool you pay for
- Employees ask HR for information they could look up themselves
WHAT WE BUILD
HRMS Development: what is inside.
A custom HRMS holds one employee record and runs attendance, leave and payroll from it. The employee record goes in first, attendance and leave next, and payroll last, after a parallel run.
Employee records
Profiles, documents, reporting lines and history in one place, with access controlled by role.
Attendance and shifts
Biometric device, mobile check-in with location, or both — with shifts, overtime and late rules applied automatically.
Leave management
Your leave types and accrual rules, with approvals routed to the right manager.
Payroll
Salary structures, deductions and payslips calculated from attendance and leave, with exports for your bank and accountant.
Onboarding and exits
Checklists, document collection and asset handover for joiners and leavers.
Employee self-service app
Payslips, leave requests, attendance and announcements on the phone every employee already carries.
Reports and compliance
Headcount, cost by department, overtime, leave liability and the statutory reports your accountant files.
INTEGRATIONS
What it connects to.
A custom HRMS reads attendance from the devices you already own and hands payroll figures to the bank and the accountant in the formats they ask for. These are the integrations we build.
| System | What it does | Market |
|---|---|---|
| Biometric attendance devices | Punches pulled from the device automatically, with your shift and late rules applied. | All markets |
| Bank salary files | The salary transfer file generated in the layout your bank accepts. | India, UAE |
| UAE Wage Protection System | The salary information file prepared for your bank or exchange house. | UAE |
| PF, ESI and professional tax reports | Monthly statutory figures produced in the form your accountant uploads. | India |
| Tally and Zoho Books | The payroll journal posted to your accounts each month. | India, UAE |
| WhatsApp, SMS and email | Payslips, approvals and shift changes sent to the phone every employee already carries. | All markets |
| Xero and MYOB | Payroll journals posted to the accounting system an Australian entity runs on. | Australia |
HOW A PROJECT RUNS
From first conversation to go-live.
An HRMS is implemented without interrupting payroll: the new system runs alongside the old one for at least one full pay cycle before it takes over. The stages follow the same six-stage process we use on every product.
- 01
Discovery
We document how attendance, leave and payroll actually run today, including the exceptions the payroll clerk handles by hand. Those exceptions are the requirements.
- 02
Employee record
Master data is cleaned and migrated first. Everything else depends on it being right.
- 03
Attendance and leave
These go live next. They affect employees daily and prove the system before money is involved.
- 04
Parallel payroll
The new payroll runs beside the old one for at least one full cycle, and every payslip is reconciled.
- 05
Cut over and extend
Once the figures match, payroll switches over. Onboarding, appraisals and analytics follow.
COST AND TIMELINE
What decides the cost.
The cost of a custom HRMS follows the complexity of your pay rules, not your headcount: there is no per-employee subscription. Shift patterns, the number of entities and countries, and device integration are what move the price. HRMS projects start from ₹1 lakh.
| Cost driver | How it moves the price |
|---|---|
| Pay rules | A fixed monthly salary is simple. Overtime slabs, site allowances and piece-rate pay each add rules to build and test. |
| Shifts and sites | Rotating shifts, split duties and multiple locations make attendance the largest part of the work. |
| Entities and countries | Every company, state or country adds its own pay cycle, holidays and statutory rules. |
| Devices | One current biometric model is quick to connect. A mix of older devices takes longer. |
| Employee app | A browser portal is the baseline. A mobile app with location check-in is additional work. |
| Migration and parallel run | History to migrate and a full pay cycle run in parallel add time, and protect the first live payroll. |
Typical scopes
Most projects fall into one of three scopes. Yours is priced against a written scope after discovery, not against a row in this table.
| Scope | What it covers |
|---|---|
| Core HR | Employee records, attendance and leave for one entity |
| HR and payroll | Adds payroll, statutory reports, bank files and device integration |
| Multi-entity HRMS | Adds several entities or countries, an employee mobile app and analytics |
CUSTOM OR OFF THE SHELF
An honest comparison.
A packaged HRMS is usually the faster and cheaper choice when your pay structures and leave rules are conventional. Custom pays off with unusual shifts, several entities, or a large workforce on per-employee pricing.
| Packaged HRMS (Keka, greytHR, Zoho People) | Custom, built by LYMDATA LABS | |
|---|---|---|
| Fit to your policies | Standard policies work well. Unusual shift and pay rules need workarounds. | Your rules are encoded once and applied the same way every month. |
| Time to first use | Can be live this month. | Weeks to a few months, plus a parallel payroll cycle. |
| Cost profile | A fee per employee every month, growing with headcount. | An upfront build, then hosting and support. No per-employee fee. |
| Statutory updates | The vendor updates rates and formats for you. | Rates are settings your team or ours updates when they change. |
| Data and ownership | Employee data sits in the vendor’s cloud. | Data stays in infrastructure you own. |
| Choose it when | One country, conventional rules, modest headcount. | Complex shifts, several entities or countries, or a large workforce. |
If a packaged HRMS fits your policies, buy it and configure it properly. HRMS and payroll software: when to buy, when to build walks through the decision.
PUBLISHED WORK
BuildQuot
Web platform and website // Ajman, UAE
We publish a client only once the work is live and we have permission to name them, and no HRMS engagement is on that list yet. What we can show is how we build multi-role business systems: BuildQuot gives buyers, suppliers and an internal review team each their own access, keeps every revision of every document and exports its reports to PDF and Excel.

QUESTIONS WE GET ASKED
Before you decide.
Why custom instead of an off-the-shelf HRMS?
If a packaged HRMS fits your policies, it is usually the faster choice and we will say so. Custom pays off with multiple entities or sites, unusual shift and leave rules, or when per-employee subscriptions outgrow the cost of owning the system.
Can it integrate with our biometric attendance devices?
In most cases the HRMS can read your biometric devices directly. We assess your device model in discovery; most current devices can export or sync attendance data to the HRMS automatically.
Does it handle statutory deductions?
Yes. The deductions that apply to your payroll are configured as rules in the system and reviewed with your accountant before the first live run.
Is employee data secure?
Access is role-based, sensitive fields are restricted, and every change to a record is logged. The data lives in infrastructure you own.
How much does custom HRMS software cost?
It depends on your pay rules, shifts, number of entities and integrations rather than on headcount, because there is no per-employee fee. HRMS projects start from ₹1 lakh. We quote a fixed price for a defined first release after documenting how your payroll runs today.
How long does it take to build a custom HRMS?
A first release covering the employee record, attendance, leave and payroll typically takes weeks to a few months, followed by a parallel payroll cycle before cut-over.
Can it run payroll for India, the UAE and Australia?
Yes, with the rules of each jurisdiction held as settings rather than code. For India that covers provident fund, ESI, professional tax and tax deducted at source. For the UAE it covers the Wage Protection System and end-of-service gratuity, and for Australia superannuation and award rules. Each set is reviewed with your accountant before the first live run.
Do we own the HRMS and the data in it?
Yes. Source code, database and hosting are in your company’s name, with documentation, and there is no licence fee to us.
