CASE STUDY // CONSTRUCTION TECH

Quotes used to live in WhatsApp. Now they live in one place.

BuildQuot is where UAE contractors send out RFQs and suppliers send back quotes. We built the whole thing: the app both sides log into, the AI that lines quotes up item by item, and the website that gets them to sign up.

The brief

Ask a UAE contractor how they tender a package and you get the same answer. The RFQ goes out by email. The drawings go out on WhatsApp. Quotes come back as a PDF, a photo of a printout, or a spreadsheet with half the columns filled in. Then someone types it all into one sheet so the boss can pick a winner.

BuildQuot wanted to replace that with one system. One RFQ, one deadline, one place every document lives. It had to be free for suppliers, because a marketplace where suppliers think twice about joining is an empty marketplace. And it had to keep a record, because the question is never “who was cheapest” but “why did we pick them”.

What we delivered

  • Separate buyer and supplier accounts
  • Projects, RFQs and document uploads
  • Supplier search, email invites and a licence review queue
  • Quotes by upload or on screen, with version history
  • AI comparison that lines quotes up item by item
  • Chat, notifications and deadline colours inside each RFQ
  • Reports that export to PDF and Excel
  • Free, Professional and AI Premium plans
  • The public website: pricing, FAQ, sign-up for both sides

THE PLATFORM

Nothing gets typed twice.

We designed and built the BuildQuot web app. The rule we kept coming back to: if a supplier already wrote the quote, the buyer should never have to re-key it to compare it.

01

RFQs with the drawings attached

A buyer creates a project, adds an RFQ and drags in the drawings, the BOQ and the specs. Suppliers get the files sorted by type, not a zip of everything.

02

Quotes that come back in the same shape

A supplier can upload the PDF or Excel they already prepared, or fill in the lines on screen. Either way the buyer sees quantity, unit and price in the same columns for every bidder.

03

Every revision kept

A revised quote becomes version 2. Version 1 stays. So when someone asks in March why the price changed in January, the answer is one click away.

04

Chat that stays with the RFQ

Questions and clarifications happen inside the RFQ, next to the files they are about. No separate WhatsApp group that nobody can find at handover.

THE WEBSITE

Sell the fix, not the software.

The homepage

Start with the pain, not the product

Nobody searches for “procurement software”. They search for a way out of their inbox. So the first line on the site is the thing every contractor says out loud: “Stop chasing quotes across email and WhatsApp.” Next to it sits a real comparison card, so you see what you get before you read a word about features.

The rest of the page is one long argument. Here is how you tender today. Here is how it looks on BuildQuot. Four steps if you are a buyer, four if you are a supplier. Then pricing, the questions people actually ask, and two sign-up buttons, one for each side.

AI comparison

The lowest quote isn’t always the cheapest

A bid that leaves out three line items always wins on total. That is the trick the AI comparison is built to catch. It reads the PDF or Excel each supplier actually sent, matches the same items across bidders even when they call them different things, and flags anything missing or priced off-market.

The comparison is saved on the RFQ. So the reason you awarded to Supplier A is still there when the client asks six months later.

THE HARD PART

Two sides, one system.

Buyers won’t switch until their suppliers are on it. Suppliers won’t join until there are RFQs to quote. So we built each side to drag the other one in.

01

Buyers and contractors

Projects split into civil, MEP, electrical and finishing. Each RFQ shows who has quoted, who has declined and who has gone quiet. Reports export to PDF or Excel for whoever asks.

02

Suppliers and sub-contractors

Register, pick your categories and brands, get invited to RFQs that match. Keep a private list of stock codes so a quote takes minutes, not an evening. Free, always.

03

Suppliers who aren’t on it yet

A buyer can invite any supplier by email. They open the link, quote, and register after. That way a buyer’s existing vendors are never the reason they can’t switch.

04

The BuildQuot team

Every trade licence and VAT certificate lands in a review queue. A person checks it and grants the tick. That is what makes “verified suppliers only” true rather than a slogan.
