THE PROBLEM
What goes wrong today.
An institute loses admissions in the gap between the enquiry and the first call back. Enquiries arrive from many channels within a few weeks, each counsellor keeps a private sheet, and nobody can say which families were never called.
Admissions are seasonal. Board results, entrance exam results and intake dates each bring a surge of enquiries from the website, ad forms, an education fair, the front desk phone and WhatsApp. Each counsellor copies a share into a personal sheet, and the fair leads sit in a notebook until someone types them up a week later.
One admission also has two contacts: the student who will attend and the parent who will pay, often enquiring from different numbers. A general sales CRM treats them as two leads for two counsellors. Fee instalments sit with the accounts desk and batch seats with the academic coordinator, so a counsellor offers a seat in a batch that filled yesterday.
A packaged CRM handles the basic pipeline well, and for a single centre with one programme it is often enough. Custom CRM development earns its cost when admissions depend on rules of your own: counselling stages per programme, document checks, scholarship approvals, instalment plans and seat limits across branches.

What the system follows, step by step.
An admissions CRM follows one student through enquiry, counselling call, campus visit or demo class, application and documents, offer and fee payment, and batch allotment. Each stage has an owner and a date, so a stalled admission is visible the day it stalls.

Enquiry capture
Every enquiry from the website, ad forms, fair lists, missed calls and WhatsApp lands in one queue with its source and programme. A parent and a student asking about the same admission are matched into one record.

Counselling call
The enquiry goes to a counsellor by programme, branch or language, with a time limit for the first call. An enquiry nobody has called inside that limit is escalated to the admissions head.

Campus visit or demo class
The counsellor books a visit or demo class slot from the record, and the family gets a confirmation and a reminder. A no-show returns to the counsellor's list for a rebooking call instead of quietly becoming a lost admission.

Application and documents
The applicant fills the form and uploads mark sheets, identity proof and photographs through a link. The checklist shows what each applicant still owes, which ends the daily calls asking who has submitted what.

Offer and fee payment
The offer carries the fee plan, any scholarship with its approver, and a payment link. A paid booking amount holds the seat, and an unpaid offer lapses on a date you set.

Batch allotment and enrolment
The student is placed in a batch with a live seat count, and the record passes to the academic and accounts teams with nothing retyped. Later instalments stay scheduled against the same student.

Application and document checklist
Programme-specific forms and required documents, with a verification status per item. Study-abroad consultancies use the same checklist for university applications, offer letters and visa paperwork.
Fee plans and instalments
Fee structures, scholarships and sibling or early-payment concessions with approval, and an instalment schedule per student. Dues are visible to the counsellor who knows the family.
Season reporting
Enquiries, first-call times, visits, applications and enrolments by source, programme, branch and counsellor, set against the previous intake.

Before you decide.
Which CRM should a coaching institute use?
For one centre with a handful of courses, a packaged education CRM or a general CRM such as Zoho, configured with your stages, is usually the sensible choice. A custom build suits institutes with several branches, their own counselling and fee rules, or seat limits enforced at the offer. Can an admissions CRM track both the student and the parent?
Yes. We model the admission as one record with several contacts, so a mother's phone call and her son's website form are recognised as the same enquiry. Messages go to the student, the parent or both, depending on the stage.
Can it capture leads from education fairs and school visits?
Yes. Counsellors enter fair leads on a phone or tablet form at the stall, or upload the organiser's list afterwards, and duplicates are merged. Each lead is tagged with the event, so a fair can be judged by the admissions it produced.
Does an admissions CRM replace our student information system?
No. The CRM covers enquiry to enrolment, including fees and batch allotment at admission. Attendance, timetables, examinations and results belong in a student information system, and we hand the enrolled record to yours or build that part later.
When should we start building a CRM for the next admission season?
